Admin Assistant

Position Summary

The full-time remote Administrative Assistant will be responsible for the day-to-day operations in the corporate office to help us shape and enhance our corporate image in ways that promote our business, values, and mission. We provide accounting and relationship management for firms primarily in the transportation and logistics, construction, healthcare and medical, government contractor, real estate, professional services, and law industries.  The work hours are Monday to Friday from 8am to 5pm EST.  The salary range is $26,000 to $35,000 annually and is based on experience.  Benefits include medical, dental, vision and life insurance.  Also, 401K and performance bonus are included.

Job Responsibilities

  • Provide administrative support and coordination across the organization including scheduling meetings, coordinating events, and assisting with projects.
  • Assist the team and clients with scheduling meetings with the CEO. 
  • Project management for the CEO.
  • Provide a high level of phone support and respond to frequently asked questions. 
  • Provide responsive, accurate, and approachable customer service. 
  • Consistently meet deadlines while maintaining high quality work, and client and team relations. 
  • Sales support (i.e., qualify leads and keep sales system up to date) 
  • Document management which includes ensuring employees comply with protocols established for folders and files, and resolve document management system issues.

  • Document management experience including keeping folders and documents organized.
  • Emotional intelligence and mentally strong.
  • Growth mindset and willingness to learn new things.
  • Must have excellent Wi-Fi and a private place to work.
  • Manage and maintain calendars, conference calls, travel, and all administrative functions.
  • Maintain contact databases and mailing lists with updates.
  • High level of interpersonal skills to handle sensitive and confidential information.
  • Associate degree or higher in a business-related field.

Accounting Specialist

Position Summary

The full-time Accounting Specialist will be responsible for accounting and relationship management for firms primarily in the transportation and logistics, construction, healthcare and medical, government contractor, real estate, professional services, and law industries. The work hours are Monday to Friday from 8am to 5pm EST. Benefits include medical, dental, vision and life insurance.  Also, retirement benefits, educational reimbursement, and quarterly bonus are included.

Job Responsibilities

  • Client onboarding
  • Accounts payables and receivables
  • Bank and credit card reconciliations
  • Month end close process
  • Create financial statements
  • Relationship management
  • Facilitate client meetings to provide an update on the financial health of their business, discuss and solve issues and respond to questions
  • Special projects
